Terms and Conditions
Below are the terms and conditions for all Healthcare Australia initiatives. If you have further questions that are not answered by this section please get in touch with the team and we will be able to help you out.
Our acclaimed Refer A Friend program just got bigger! We’ve expanded the eligibility criteria so that all HCA field staff are included. Even better for each successful referral you will both receive a reward.
- The ‘National Refer a Friend’ program runs from 1st January 2025 12:00 am AEST until Friday 31st December 2025 11:59 am AEST
- Note, that for Community Care staff, this incentive program is effective from 1st January 2024. As such, Community Care staff can only claim the National Refer a Friend Program for staff referred 1st January 2024 onwards.
- When the referred candidate is an RN, EN, RM or Theatre Staff, both the referred candidate and the referring employee will receive $500.
- When the referred candidate is an AIN, PCA or Disability Support Worker (Community Care), both the referred candidate and the referring employee will receive $250.
- This means that:

- If an AIN/PCA or Disability Support Worker refers an RN, EN, RM and Theatre staff then they receive $500 as well as the referred candidate
- If an RN, EN, RM and Theatre staff refers an AIN/PCA or Disability Support Worker then they receive $250 as well as the referred candidate
- A referred candidate is either a new employee to HCA or associated brands or has not worked a shift within 2 years.
- The referrer must be deemed an active employee who has worked a contract or shift within the last 12 weeks to be eligible
- Referrals are recognised nationally. The referred candidate can work in a different participating division from the referee e.g. Referee can be working in WA (HCA WA) but refer a candidate who wants to work in metropolitan NSW (HCA NSW Spec)*
- The referee mentions your name at the interview for our record-keeping purposes and the validity of the referral or the referrer is introduced via our website. Later notification of the referral may result in the reward not being offered
- The reward is offered to both referee and referrer once the referred candidate works 100 hours within 90 days of starting work with HCA.
- The onus is on the referrer and referee to notify HCA once they have reached 100 hours and are eligible for their bonus.
- Note candidates must be active to claim rewards

HCA National Rewards Program
- With HCA’s National Rewards program you can earn exciting rewards simply by working.
- Rewards are unlocked based on number of hours worked.
- The incentive program runs from 1st January 2025 00:00 AEST until 31st December 2025 23:59 AEST
- Applies to all employees registered and hours worked with participating divisions*
- Your total hours counted towards the HCA National Rewards Program accrues on submission of approved timesheets. Timesheets must be submitted within 14 days of placement completion.
- To remain active in the rewards, program a minimum of 1 shift must be worked within 12 weeks. Your total hours accrued for the rewards program will be reset to zero with no activity.
- Your total hours accrued towards the rewards program will expire if employment is deactivated with no activity or terminated.
- Candidate must be active to claim rewards.
- Rewards programs hours are transferable between participating divisions*
- The onus is on the employee to redeem the reward.
- Once a reward is redeemed the corresponding hours required for your nominated reward is subtracted from your total hours counted towards the HCA National Rewards Program.

HOW IS PAYMENT MADE?
Reimbursement is payable upon submission of a tax invoice receipt, successful course completion certificate and accrual of points required. Note that you can only claim courses up to the value of $500 at any one time

1. Campaign Overview
- The “Agency $250 Onboard Bonus” promotion (“Promotion”) is run by Healthcare Australia (HCA).
- The Promotion is valid for the period 1 October 2025 – 31 October 2025.
- The Promotion is designed to reward new Registered Nurses (RNs) and Midwives who join HCA and complete the required number of hours.
2. Eligibility
- The Promotion is open to new HCA agency staff who:
- Commence employment with HCA between 1 October 2025 and 31 October 2025, and
- Are employed as a Registered Nurse (RN) or Midwife.
- Existing HCA employees are not eligible.
- Participants must meet all compliance and onboarding requirements before starting shifts.
- If onboard outside 1 October 2025 and 31 October 2025 they will not be eligible to claim promotion.
3. How to Qualify
- Eligible participants must complete 100 hours of work within 3 months of commencing with HCA.
- Hours must be worked and verified through HCA’s rostering and payroll systems.
- Only completed and approved shifts will count toward the total.
4. Bonus Payment
- Upon completion of the 100 hours within 3 months of commencing, the participant will qualify for the $250 Onboard Bonus.
- The $250 bonus will be paid in the next available payroll cycle after qualifying for the payment.
- The bonus will be processed as taxable income and subject to standard tax and superannuation obligations.
- Only one bonus per eligible participant can be claimed under this Promotion.
5. General Conditions
- HCA reserves the right to verify eligibility, including employment status, shift completion, and role classification.
- The Promotion is non-transferable and cannot be exchanged for any alternative benefit.
- HCA reserves the right to vary, suspend, or cancel the Promotion at any time without notice.
- By participating, staff agree to these Terms & Conditions.
1. Campaign Overview
- The “Referral Power Bonus” promotion (“Promotion”) is run by Healthcare Australia (HCA) as a booster to HCA’s existing Refer a Friend program.
- The Promotion is valid for referrals made between 1 September 2025 and 31 December 2025.
- It is designed to reward HCA agency staff for referring Registered Nurses (RNs) and Midwives to join HCA.
2. Eligibility
- The Promotion is open to existing HCA agency employees who refer new candidates who:
- Are employed as a Registered Nurse (RN) or Midwife;
- Successfully register, onboard, and commence employment with HCA;
- Complete a minimum of 100 hours of work within 3 months of commencing.
- Only referrals made between 1 September 2025 and 31 December 2025 will count toward this Promotion.
- Standard eligibility requirements of the HCA Refer a Friend program also apply.
3. How It Works

- If the referrer successfully refers 5 eligible RNs/Midwives before 31 December 2025, and each of those referrals completes 100 hours within 3 months of commencing:
- The referrer will receive an additional $2,000 bonus.
- The additional $2,000 bonus will only be paid once all 5 referred candidates have met the 100-hour requirement.

4. Payment
- Referral bonuses (the $500 per referral and the $2,000 group bonus) will be processed through payroll and treated as taxable income, subject to standard tax and superannuation obligations.
- Payments will follow the timing and method outlined in the Refer a Friend program for the $500 referral component.
- The additional $2,000 group bonus will be paid in the next available payroll cycle once eligibility is verified.
5. General Conditions
- The Promotion is non-transferable and cannot be exchanged for any alternative benefit.
- Only referrals for RN and Midwife roles count toward this Promotion.
- HCA reserves the right to verify eligibility, including employment status, role classification, and hours completed.
- HCA reserves the right to vary, suspend, or cancel the Promotion at any time without notice.
- By participating, employees agree to these Terms & Conditions.

- The statement “$5,000+ worth of perks in your first year with HCA” (“Claim”) refers to the total potential value of bonuses, rewards, and incentives available to eligible HCA agency employees.
- The Claim does not represent a guaranteed benefit for all HCA workers and will vary depending on individual participation, eligibility, and outcomes across HCA’s reward programs.
2. Eligibility & Participation
- Perks are only available to active HCA agency employees who meet the requirements of the relevant promotion, incentive, or program.
- Employees must actively participate in initiatives such as referrals, compliance cashback, giveaways, education programs, and promotional activities in order to access these benefits.
- Receipt of perks may depend on:
- Meeting minimum work requirements (e.g., hours or shifts completed),
- Referring eligible friends who successfully onboard with HCA,
- Entering and winning competitions or giveaways,
- Claiming compliance or education cashback offers,
- Participating in reward or points-based programs.
3. Example Scenarios
The following examples illustrate possible ways in which an employee may achieve $5,000+ in perks within their first year:
- Scenario A:
- Referring 4 eligible friends ($500 per referral) = $2,000
- Claiming Compliance Cashback = $1,000
- Redeeming free education via rewards points = estimated $1,500
- Receiving free scrubs or similar = estimated $500
- Total value: $5,000+
- Scenario B:
- Referring 2 eligible friends ($500 per referral) = $1,000
- Winning a major giveaway or prize draw (e.g., travel package valued at $4,000) = $4,000
- Total value: $5,000+
4. General Conditions
- Actual benefits received will differ for each employee.
- The Claim should be understood as an example of potential combined value, not an entitlement or guarantee.
- All perks, bonuses, and rewards are subject to the specific Terms & Conditions of the relevant program (e.g., Refer a Friend Program, Compliance Cashback, Giveaway Terms).
- Participation in draws, giveaways, or competitions does not guarantee a prize.
- HCA reserves the right to amend, vary, or cancel any promotion at its discretion.
1. Campaign Overview
- The “12 Weeks of Christmas” incentive (“Promotion”) is run by Healthcare Australia (HCA).
- The Promotion will commence on Monday 29 September 2025 and conclude on Sunday 21 December 2025.
- The Promotion is open to eligible members of HCA’s agency workforce.
2. Eligibility
- To be eligible, participants must be active HCA agency employees during the Promotion period.
- Each week, HCA will announce the specific shifts that qualify for the Promotion (the “Eligible Shifts”).
- Only employees rostered and working the designated Eligible Shifts will be considered for selection.
- Employees must meet all usual HCA employment and compliance requirements.
3. How It Works
- At the start of each week, HCA will advise participating workforce members of the Eligible Shifts (e.g. Monday evening, Wednesday morning, Saturday overnight). Eligible shifts will range from one to three per week.
- During each Eligible Shift, an HCA representative may attend in person to identify and reward winners.
- Winners will be selected randomly from staff working the designated Eligible Shift at the time of the HCA visit.
4. Prizes
- Weekly prizes will consist of cash vouchers ranging from $100 to $2,000, the cash prize will be decided each week, there is no set schedule of prize amount each week.
- A minimum of 1 prize will be awarded per week, with a maximum of 10 prizes per week.
- The total number of winners and voucher amounts may vary from week to week at HCA’s discretion.
- Vouchers are not transferable or exchangeable and cannot be redeemed for cash other than as stated.
5. Winner Notification
- Winners will be notified immediately on shift by the attending HCA representative.
- Winners may be required to sign an acknowledgment of receipt for compliance and reporting purposes.
6. General Conditions
- HCA reserves the right to vary, suspend, or cancel the Promotion at any time without prior notice.
- Decisions regarding Eligible Shifts, prize allocation, and winner selection are final and binding.
- By participating, employees agree to these Terms & Conditions and consent to any reasonable publicity required by HCA.
7. Exclusions & Limitations
- HCA accepts no responsibility for lost, stolen, or misplaced vouchers once issued.
- The Promotion is subject to all relevant workplace laws and HCA policies.
Free Travel Offer for Travel Nurse Short Term Contracts
Eligible HCA Travel Nurse candidates will receive free Travel to select short-term (2-6 week) placements throughout Australia.
Free Domestic Travel with Travel Nurse
For our candidates residing in Australia, HCA has your travel covered for 6+ week placements. Whether it’s flights, fuel, buses, or trains – we’ve got you sorted.
- The ‘Free National Travel with Travel Nurse’ incentive is effective now through 28th February 2026.
- This incentive is available to all HCA Travel Nurse candidates commencing their placement within the dates of the incentive.
- To qualify for this incentive the candidate must successfully complete a minimum placement of 6 weeks.
- Travel refers to all en-route travel WITHIN AUSTRALIA – fuel (equivalent to Best Fare of the Day and identified in candidate agreement) OR flights (economy class only) OR public transport.
- All travel must be in the name of the candidate.
- Within Australia, travel is to be booked by HCA consultants. In the case of a candidate needing to book their own travel and transport, this will need to be approved by their HCA consultant before booking.
- The candidate must submit their travel claims to HCA within 14 days of successful placement completion.
- Once all documentation has been received and approved by HCA, the candidate will be reimbursed for their travel within 21 days as per reimbursement guidelines in accordance with Best Fare of the Day identified in candidate agreement.
- Healthcare Australia has no obligation to candidates who do not comply with these terms and conditions.
- Travel entitlements apply to specified placement ONLY, as outlined in the candidate agreement.
- Upon signing the candidate agreement all travel is final. After this point any changes to travel will be the candidates sole financial responsibility
- This includes changes to travel post confirmation of itinerary. Any changes will be at the candidates cost
- Travel must be completed within 7 days of the end date of the placement, after such time it is the candidate’s financial responsibility to arrange their travel home. HCA will not be obligated to provide any financial travel assistance after this time.
- Candidates who do not meet the criteria of HCA travel policy will have their claim rejected.
- Candidates who do not meet HCA’s compliance requirements will not have travel booked and may be required to pay back any travel outlaid by HCA or relevant Health Service.
- Candidates who do not complete their placements successfully may have their claim rejected and may be required to pay back any travel outlaid by HCA or relevant Health service.
- Candidates who utilise airline/travel/bank/rewards points for travel bookings related to placements will not be eligible for reimbursement (eg. Qantas Frequent Flyer, NZ Air Points, Flybuys points).
- If travelling internationally please see our ‘Free International Travel with Travel Nurse’ incentive.
- The terms and conditions specified in this incentive are in conjunction with the ‘HCA Travel Nurse Travel and Accommodation Policy.’
- Terms and conditions of this promotion may be amended by Healthcare Australia at any time.
- Upon signing the candidate agreement all travel is final. After this point any changes to travel will be the candidates sole financial responsibility
More Miles, More Money Giveaway
Campaign Name: More Miles, More Money Giveaway
Campaign Period: 1st October 2025 – 31st August 2026
Eligibility Criteria:
To be eligible for the More Miles, More Money campaign:
- You must be a Travel Nurse working on placement through Healthcare Australia.
- Placements must occur between 1st September 2025 and 31st August 2026.
- Only full-time travel placements are counted toward milestone thresholds.
- You must be compliant with HCA values at the time of payment processing.
- The campaign is available to candidates placed via HCA’s Travel Nurse division.
Bonus Milestones & Payments:

- These bonuses are cumulative, meaning participants can earn up to $5,000 total throughout the campaign.

- Part-time or casual placements that do not meet the standard Travel Nurse criteria will not count toward milestone totals.
How to Claim:
- It is the responsibility of the Travel Nurse to notify HCA once they reach a milestone.
- HCA will verify placement history and confirm eligibility before processing payment.
Payment Details:
- Bonus payments will be processed via HCA payroll in the next available pay cycle following approval.
- Tax will apply to payments processed.
General Terms:
- HCA reserves the right to verify eligibility and decline payments if milestone requirements are not met.
- This offer cannot be used in conjunction with other placement-based cash incentives.
- HCA may modify, extend, or withdraw the campaign at its sole discretion.
- All decisions made by HCA regarding this campaign are final.

International Refer a Friend Program
No longer working with Healthcare Australia as you’ve returned home and can’t participate in our regular Australian Refer A Friend campaign? Healthcare Australia is launching an International Refer a Friend Program.
Are you constantly telling everyone about your great Australian Adventures? Why not refer them to the Healthcare Australian International Team to also have the same experience!
To be eligible, you yourself must have worked a shift with Healthcare Australia during your time in Australia and the referred candidate must be a Registered or Enrolled Nurse, Midwife. Once the candidate has arrived in Australia and worked their first shift with Healthcare Australia we will send you an Amazon Voucher.

Permanent Refer a Friend Program
- ‘Permanent Refer a Friend Program,’ is applicable for any candidate who successfully obtains a permanent position and completes 12 weeks employment with the client.
- To be eligible as the referee you must refer the persons CV and submit the form with screenshot of your bank account. Then after 12 weeks of employment with the client the referee gets $500 transferred into their bank account from HCA
- Tax and super legislative requirements may apply.

Allied Health Joining/Referral Bonuses
Bonus rewards are available to Allied Health Clinicians joining between 01/02/2018 12:00 am (AEST) and 31/12/2023 11:59 pm (AEST).
$500 JOINING/REFERRAL BONUS – LOCUM ROLES ACROSS AUSTRALIA
- Bonus points cannot be accumulated in addition to any other bonus. This is inclusive, and not limited to, the referral bonus
- Complete 8 weeks of locum placements within the first 12 months of joining
- Locum placements can take place at one or multiple facilities to be eligible for joining/ Referral Bonus
- Must have been hired through the HCA Allied Health Recruitment team

- South Coast, Central, Western NSW, Cairns, ACT, Whyalla, Port Augusta, Tanunda SA, Cairns, Gold Coast QLD are rural and regional areas.

Free Flight to Australia Incentive – Terms and Conditions
Healthcare Australia (HCA) offers a flight reimbursement incentive to eligible international nurses relocating to Australia to work as Registered Nurses, subject to the following Terms and Conditions:
1. Promotional Period
- This incentive is valid for candidates who commence employment with HCA in Australia between 1 September 2025 and 31 August 2026.
2. Eligibility
This incentive is available exclusively to international Registered Nurses who meet all of the following requirements:
- You are relocating to Australia to work as an agency or travel nurse with HCA.
- You must be employed by HCA as a Registered Nurse in any location across Australia.
- You have not previously worked with HCA within the past three (3) years.
- You are eligible to work in Australia as a Registered Nurse and have completed your registration with HCA. If you are unsure of the process, please contact your local HCA office for guidance to ensure you are work-ready prior to arriving in Australia.
- You commence your first shift with HCA between 1 September 2025 and 31 August 2026. Candidates commencing outside this period are not eligible.
- You complete a minimum of 500 hours of Registered Nurse shifts within six (6) months of your first shift with HCA.
- Your first shift must occur within three (3) months of your flight’s arrival in Australia.
3. Reimbursement Details
- HCA will reimburse up to AUD $1,500 towards the cost of a one-way flight to Australia.
- The reimbursement is based on the actual amount paid. For example, if your flight cost AUD $1,100, HCA will reimburse AUD $1,100 (not the full AUD $1,500 cap).
- Flights purchased fully or partially with frequent flyer points, travel credits or vouchers are not eligible for reimbursement of those portions. However, taxes or any cash component paid are eligible.
- The flight must be booked in the name of the claimant, who is the HCA employee.
- For a return ticket, reimbursement will cover 50% of the total ticket cost, up to AUD $1,500.
- For any other type of ticket, reimbursement will be up to AUD $1,500, subject to proof of payment.
4. Claim Process
- You may lodge a claim for reimbursement once you have completed the required 500 hours of agency or travel nurse shifts.
- It is your responsibility to notify HCA upon completing the 500 hours within the six-month timeframe and submit your claim.
- To lodge your claim, you must email international@healthcareaustralia.com.au with the following documentation:
- A copy of your airline ticket.
- Proof of payment (receipt or tax invoice showing the total amount paid and payment method).
5. Deadlines
- Your first shift must be worked within three (3) months of your flight’s arrival in Australia to remain eligible.
- Claims must be submitted within 90 days of completing your 500th hour.
- Claims will be processed within 30 days of receipt of the required documentation.
6. General Conditions
- This offer is valid only during the promotional period and may be extended, varied, or withdrawn at HCA’s sole discretion.
- Only one flight reimbursement will be granted per eligible nurse.
- HCA reserves the right to verify all information provided and reject incomplete or ineligible claims.
- This offer will be invalidated if you are terminated from employment or otherwise breach your employment contract with HCA prior to lodging your claim.
- HCA’s decisions regarding this incentive are final and no correspondence will be entered into.
- To the extent permitted by law, HCA and its associated agencies, contractors, and companies accept no liability for any loss (including indirect, special or consequential loss, or loss of profits), expense, damage, personal injury, or death arising in connection with this incentive, except where liability cannot be excluded by law (in which case liability is limited to the minimum allowable by law).
- HCA collects personal information (PI) to administer this incentive and your claim. PI may be disclosed to third parties including agents, contractors, service providers, and regulators as required. Your claim is conditional upon providing this PI. HCA will use and manage PI in accordance with its Privacy Policy, available at https://healthcareaustralia.com.au/privacy/. The Privacy Policy explains how you can access, update, or correct your PI, opt out of communications, or lodge a complaint regarding a breach of the Australian Privacy Principles.

Program Overview
Healthcare Australia (“HCA”) offers QuickPay, a service that allows eligible casual staff to receive payment for completed shifts sooner than the standard payroll cycle. This service is designed to provide greater financial flexibility, operating under the principle of “Work Today, Get Paid Tomorrow.”
Eligibility
- QuickPay is available to most casual HCA staff who submit electronic timesheets through the eHCA App or website.
- QuickPay is NOT available for:
- HCA Care, Allied Health Professionals, and Rural & Remote employees.
- Staff working at certain facilities in WA and QLD (as specified by HCA).
- Staff receiving WorkCover payments or with existing payroll deductions (e.g., Child Support, Centrelink, Rent, etc.).
- QuickPay is not available for payments related to:
- Booking errors, special rates/adjustments.
- Travel payments, education sessions, top-up payments, or incentive payments.
Processing & Payment Schedule
- QuickPay payments are treated as an advance on the next week’s payroll.
- To be eligible for next day payment, timesheets must be submitted by 12pm the previous day.
- Payments are processed according to the QuickPay schedule which you will find in your QuickPay info pack.
- QuickPay will not be processed on weekends & Australian public holidays
Fees & Deductions
- An administration fee is charged per daily payroll batch (e.g., if multiple QuickPay transactions are processed on the same day, only one fee is applied).
- Tax and superannuation is calculated on the accumulated gross earnings for the full pay week, per ATO guidelines.
Opting Out & Changes
- Staff can switch from QuickPay to regular payroll via the eHCA App or website, provided the shift is still awaiting payment or approval.
General Conditions
- HCA reserves the right to modify, suspend, or discontinue the QuickPay program at any time.
- Individual payslips for each QuickPay transaction will be available via the eHCA App or website.
- QuickPay is subject to system availability and processing constraints.

3. Discount
- A 10% discount will be applied to the total invoice when two (2) or more eligible services are booked together.
- Discount is calculated on the service component only and excludes any travel-related invoices or charges.
4. Booking Requirements
- To qualify, services must be booked under the same organisation.
- Services may be delivered across multiple dates throughout the year, allowing organisations to plan a full annual calendar for their workforce.
- Bookings are subject to HCA staff availability in each region.
5. Exclusions & Limitations
- Travel fees, accommodation, or additional expenses outside standard service delivery are not eligible for the discount.
- This offer cannot be used in conjunction with any other promotion, discount, or special pricing agreement.
- HCA reserves the right to modify or withdraw this promotion at any time without notice.
